Years of campouts, service hours, leadership positions, badges and account balances don't have to stay in an old spreadsheet or another program. You can bring them into Campfire so each Scout's record is complete from day one.
Where your history comes from
- Scoutbook: ranks, merit badges, awards and adventures come over in the Scoutbook export files. See Scoutbook import and export.
- TroopTrack: has its own import for activity credits and Scout account history. Find it under Moving from TroopTrack on the Import & export page. See Moving from TroopTrack.
- Anything else: a spreadsheet you kept, or an export from another program. Put it in Campfire's template and import it as described below.
How every history import works
- Make sure everyone in your history is on the roster first, including Scouts and leaders who have left. If they aren't, add them with a members spreadsheet. Use the Left on column for people who have left.
- Go to Account Settings → Organization → Import & export and tap Choose a template under From a spreadsheet. Pick what to import under What to import, and tap Download template. The page lists every column and what goes in it.
- Fill in the file. Name each person with their BSA member ID or their first and last name.
- Tap Choose file, check the preview, and tap Import.
Uploading the same file again doesn't add anything twice. Where a template has a Your ID column, put your own ID for each row there, and a later upload with the same ID updates that row instead of adding another.
Camping nights, service hours and miles
Choose Activities. One row per activity: who, Type (camping, service, hiking, backpacking, cycling or aquatics), Amount, Date, and a Description if you have one. Each row adds an entry to the Scout's activities, the same kind a leader adds by hand. It isn't tied to an event.
Past events and who went
Choose Events to put your old calendar into Campfire, then Attendance to say who went. Import the events first.
- Events: one row per event. Your ID is required, any text that is different for each event, such as TM-2019-06. Fill in Title, Start and End. Times can look like 2019-06-14 18:00 or 6/14/2019 6:00 PM and are read in your unit's time zone. A date alone in both Start and End makes an all-day event. Event type, Location (a name from your Event Locations), Description, the credits (Camping nights, Service hours, Hiking miles) and Audience (den or patrol names, blank for everyone) are optional. If you leave Camping nights blank on a campout, summer camp, backpacker or long cruise, Campfire counts the nights from the dates, and if you leave Service hours blank on a community service event, it counts the hours, just as the event form does. A den or patrol name Campfire doesn't know shows under Problems; fix it and upload again. Needs Create / Edit Events.
- Attendance: one row per person per event, with Attended set to attending or not_attending. Name the event the way you know it: its Event title as it shows in Campfire, and the Event date, the day it started. Capitals don't matter. If no event with that title started that day, the row shows under Problems. If two events with that title started the same day, rename one in Campfire, then upload again. The event must have ended and not be canceled. Needs RSVP for Other Members.
Imported events have no cost and send no notifications. Attendance works like marking attendance in the app: each person marked attending, adults included, gets the event's camping nights, service hours and miles.
Attendance on an event with a cost bills families
Events you import never have a cost, so old history never bills anyone. But if you import attendance onto an event in Campfire that has a cost, each family marked attending is charged for it, the same as in the Attendance report. Changing someone to not_attending on such an event takes their charge off. The preview tells you how many families will be charged, or no longer charged, and the total, before you tap Import.
Don't count the same campout twice
Campfire already credits camping nights and service hours from events Scouts attended. Bring each outing in one way only: as an event with attendance, or as activities. Activities are for outings that aren't on your Campfire calendar. Pick a cutover date and stop your files there.
Past leadership positions
Choose Past positions. One row per position: who, Role ID, Start date and End date. The end date is required and can't be in the future. Use role IDs, not names, such as senior_patrol_leader or scoutmaster; the Roles column of Download roster as spreadsheet shows the IDs your unit uses. Each row shows up under the member's Previous Roles. A position already there with the same dates isn't added twice. It never changes anyone's current roles. Needs Manage Roles & Permissions.
Advancement from another program
Choose Advancement for ranks, merit badges, awards and adventures that aren't in Scoutbook. One row per date: who, Item type (rank, meritBadge, award or adventure), Item name (such as First Class or Camping), and Completed on. Add a Requirement number, such as 4a, to date one requirement; leave it blank to date the item itself, where you can also fill in Awarded on. If a merit badge has more than one requirement version, the preview asks for a Version.
- It only fills blanks. A date Campfire already has stays as it is, and the preview says so.
- Nothing is earned on its own. Dating every requirement of a rank doesn't mark the rank complete. Add a row for the rank itself with its date.
- Each kind needs its sign-off permission: Approve Rank Requirements for ranks and adventures, Approve Merit Badges, or Manage Award Submissions. Adventures are for packs.
Account balances
Choose Account history to bring in what families owe from another program. One row per entry: who, Date, Kind (charge if the family owes more, credit if less), Amount in dollars, such as 45 or $1,250.00, and a Description. Category is optional. To start with just today's balances, one row per family dated at your cutover, described as "Opening balance", is enough.
- Entries go on the member's family account, and balances are recalculated when the import finishes.
- Rows are never recorded as payments, so they don't change your cash on hand.
- A date in a month you have closed is refused, and so is a change to an entry in one. Reopen that month first, or date the row after it.
- Needs Manage Finances, and Campfire Pro with finances turned on in Finance Settings.
Health form dates
If you track exam dates in a spreadsheet, import them as Health form dates, one row per member. See Import from a spreadsheet.
If something's wrong
For 30 days you can undo any of these imports from Recent imports. Picked the wrong cutover date, or matched the wrong Scout? This is what undo is for.
- Undo removes what the import added, except anything someone has changed in Campfire since. An event also stays if it has RSVPs, rides, a checklist, an event chat or files, so undo an attendance import before the events import it used.
- Values the import filled into records you already had stay. Fix those with a corrected file.
- Undoing attendance takes back the charges it caused and the camping nights and service hours it credited.
- Undoing account history puts family balances back. It can't remove entries in a month you have closed since; reopen the month first.
- Undoing events needs Delete Events, and undoing advancement needs the sign-off permission for each kind it removes.
