Troop CampfireIf your troop has been using Scoutbook, you don't need to start from scratch in Campfire. The Scoutbook import pulls in your Scouts and parents straight away, then keeps loading advancement history in the background while you get started.
What gets imported
- Scout roster (names, dates of birth, contact info)
- Parent and guardian records linked to their Scouts
- Rank advancement history, merit badge completions, awards and adventures (these arrive in the background, shortly after the roster)
- Profile photos for anyone who has one in Scoutbook (also in the background)
- Adults on the roster, including leaders. Scoutbook positions do not come across. Everyone starts as a member, and you assign Scoutmaster, Committee Chair, and the other roles from each person's profile: Members → their name → Roles.
Available for BSA programs
ScoutBook Sync is available for Scouts BSA troops, Cub Scout packs, Venturing crews, and Sea Scout ships. Importing from Scoutbook is free on every plan and you can run it as often as you like, so new members and new advancement come across whenever you sync. It runs when you choose rather than on a schedule. Sending advancement the other way, from Campfire back to Scoutbook, is the part that needs Campfire Pro. Works on web and mobile.
How to run the import
- Open troopcampfire.app or the Campfire mobile app and sign in as a troop leader.
- Tap Account Settings (top right).
- Tap Organization.
- Tap ScoutBook Sync. (Available for Scouts BSA, Cub Scouts, Venturing, and Sea Scouts.)
- Follow the prompts to sign in to your Scoutbook account and pull your roster.
- Campfire brings your Scouts, leaders and parents across first, then emails you your troop's access code so you can start inviting families right away.
- Photos, ranks, merit badges and adventures keep filling in on their own over the next few minutes. You can use the app while that finishes — a banner on the home screen shows while it is still running, and disappears when everything is in.
Watch for duplicates
If some people already have Campfire accounts, the import may create duplicate member records. See Merge duplicate members to clean those up.
