Many committees charter two units with the same number: two Scoutbook rosters, one group of adults. Campfire supports this two ways. Which one fits depends on how the troops actually operate, and the answer changes what you see day to day and what you pay.
When you connect Scoutbook and your login can see both units, Campfire asks one question: Do these troops run as one troop, with the same calendar and the same leaders? Your answer picks the setup below. You can also set either up later from settings.
Option 1: two organizations, linked as sibling troops
This is the recommended setup for troops that keep their own calendars, their own meetings, or their own Scoutmasters, even if they share a committee and do some activities together.
- Each troop is its own Campfire organization with its own roster, calendar, messages, photos, and finances.
- Each troop syncs with its own Scoutbook unit, in both directions.
- Leaders and families use one login. Switch troops with the dropdown at the top left, and adults registered in both units are members of both.
- Linking the two as siblings tells Campfire they belong together. Sharing events between sibling troops is on the roadmap.
To link two existing organizations: open Account Settings → Organization → Troop Information, scroll to Sibling troops, tap Link a sibling troop, and enter the other troop's Access Code. Either troop can remove the link later.
Option 2: one organization with both units
Choose this only when the two units truly run as one troop: the same calendar, the same meetings, and the same leaders for everyone.
- Both Scoutbook rosters live in one organization, with one calendar and one set of messages.
- Each Scout remembers which unit they belong to. The members list, court of honor, shopping list, rank report, and Scoutbook export all have an All units filter with one chip per unit.
- Scoutbook sync works for both units. Advancement is sent back to the unit each Scout belongs to, and award cards print each Scout's own unit number.
- You can rename each unit, and the export dialogs ask Which unit? because Scoutbook imports one unit at a time.
To add a second unit to an existing organization: open Account Settings → Organization → ScoutBook Sync, find Scoutbook units, and tap Add another unit. The connected Scoutbook login needs roster access to the other unit. The unit menu also offers Rename and Remove unit. Removing a unit marks its Scouts as departed, and adding it back restores them.
What each option costs
Campfire Basic is free for any number of organizations. Campfire Pro is $125 per year per organization.
- Two organizations: the first troop pays the full Pro price. The second gets the linked-unit rate, 25% off for as long as the troops stay linked, when both units run the same program (two troops, two packs, and so on). It applies automatically at checkout once they are siblings and the other unit already has Pro. A pack linked to a troop does not get this rate — that pair is two different products.
- One organization: one Pro subscription covers both units.
Pick the setup that matches how you operate rather than the price. One organization is cheaper, but if the troops keep separate calendars you will spend that saving on filtering every screen.
Changing your mind later
An organization with two units can drop back to one with Remove unit. Two separate organizations cannot be merged automatically. If you started with two and want one, contact support and we will help you move.
